Sales Coordinator – Exciting TV Networks

Be instrumental in supporting out sales team across TV including DreamWorks, Bravo and E!.

The Sales Coordinator is responsible for providing support to the Sydney Television Distribution (TVD) team during the pre & post sales process. The position is also responsible for following up to clients on projects assigned by his/her supervisor. Other responsibilities are to provide overall administrative support to the team as well as overseeing general administration of the office.

KEY RESPONSIBILITIES

1. Sales Support

Support the pre & post sales process, for the TVD Sales Team, for example (but not limited to):

• Field Order (FO) and Notice of Change (NOC’s) entry into the internal system SAFE

• Process and manage volume deal input into SAFE including date and /or title changes, cross-check finalized contracts to ensure consistency between legal documents and internal systems and co-ordinate and liaise with Sales Administration in Los Angeles

• Co-ordinate with legal (Sydney, Melbourne and LA) on contract status for all closed deals and manage executed agreements on an ad-hoc basis

• Extract and compile legal clauses (e.g., options, first right to negotiate, revenue, rights-related information) from licensing agreements, amendment letters and contracts

• Availability/Sales report management, included (but not limited to) client-tailored avails/sales reports, historical sales reports, financial sales reports, sales/avails checks for volume deals and any ad-hoc requests (by client/country)

• Track production, episode changes and premiere dates and make necessary updates in SAFE, relevant grids and alert clients of any relevant changes in TX dates, production-related variations, episode counts and durations

• Manage client access with specific platforms such as Passport and NBCUView

2. Administrative Support

• Support the back-end admin process, for the TVD Sales Team, for example (but not limited to):

• Provide administrative support for various projects including budgets, presentations in PowerPoint, etc.

• Perform general clerical duties such as (but not limited to) data entry, scanning, client deliveries, office supplies etc

• Arrange client events, meeting and/or conference calls, including managing calendars

• Manage calendar and co-ordinate meetings which can include video or conference calls

• Process payment requests for department invoices and expenses, with a close relationship with Finance departments

• Manage all sales trips which include (but not limited to) LA Screenings, MIPCOM, territory trips

• Coordinate travel arrangements and schedules for Sales team

3. Sales Role

• Support the sales process, for the TVD Sales Team, for example (but not limited to):

• In coordination with sales team, develop, implement, and achieve the annual sales budget for your designated clients

• Report results and any provide updates to the team and management on a monthly or as needed basis

• Coordinate pricing and packaging strategies with the sales team and finance group

• Coordinate all payments, payment security and product shipment to clients on a regular basis

• Develop and maintain a close working relationship with television executives and clients in Australia, New Zealand and Fiji

• Liaise with internal constituents (e.g., operations admin, sales support, business & legal affairs, finance and other related parties) on sales plans and programs

• Be an additional direct point of contact for clients – to follow up and provide updates on client-related matters, and resolve issues, answer queries and ensure timely responses to customer needs

• Work in coordination with the Sales Team to conceive, develop and implement product-packaging strategies to maximize incremental revenue opportunities;

• Work with the Sales team to manage a large catalogue of content

• Monitor the marketplace for changes that could affect sales activities, both directly and indirectly

• Identify new opportunities for sales, as a result of new entrants, changing technology and/or delivery systems.

• In coordination with the Sales Team, help develop sales strategies to quickly address and capitalize on these new opportunities.

QUALIFICATIONS/ REQUIREMENTS

• Educated to a degree level or equivalent

• Previous experience in a Sales Administration or Coordination capacity highly desirable. Previous experience in a media sales environment desirable but not essential

• Excellent attention to detail and organizational skills required

• Excellent knowledge of Microsoft Office suite – Excel, Word, PowerPoint, Outlook

• Ability to work independently and drive projects through to completion. Proactive and solution focused

• Team player and able to balance and prioritize a busy workload with a positive attitude

• Experience in generating reports.

• Working knowledge of data processing tools such as Excel, Salesforce, Power BI desirable

• Willingness to learn essential

• Exceptional financial, analytical, strategic and problem-solving skills

• Comfortable with diversified product portfolio – US and Euro content

• Interested to progress to a TV sales career

• Ability to work with confidential and sensitive information in a discrete manner

• Previous experience in a media sales environment preferred but not essential
